ExxonMobil Canada and affiliate Imperial Oil Limited (Imperial) plans to award a contract(s) for it's records management services requirements across Canada. The work will require a Contractor(s) to provide the operation and maintenance of the record
management function at several record centres across Canada with an approximate staff level as noted below.
Potential bidders must be able to demonstrate that they have previously delivered these services in similar offshore or industrial environments.
EMC/IOL reserves the right to make the final determination of which firms qualify to bid.
Scope of Work
It is EMC/IOL's intention to solicit proposals from qualified suppliers for records management services on an all inclusive hourly rate cost basis. Qualified suppliers would be allowed to provide proposals on all or part of the Work (i.e. by Zone).
Contract term would probably be for five (5) years. Invitations for proposals will be released about April./02 and about two weeks will be allowed for proposal preparation. Contract award is expected to be about late April or early May /02 for start date
of June 1/02.
Zone 1 Calgary, Alberta Approximately 20 staff consisting of: 1 Supervisor 19 Document Analysts
Zone 2 Toronto, Ont. 1 Document Analyst
Zone 3 Halifax, Nova Scotia Approximately 8 staff consisting of: 1 Team Leader 7 Document Analysts
Companies interested in pre-qualifying are requested to state the interest, capability and capacity of your company for providing records management services as follows:
A. State willingness of your company to submit a competitive proposal for the work, withcompensation as indicated, and on a bidding schedule and work schedule as outlined above.
B. Provide details of similar work in the past three (3) years. Please list this information on a form for our review.
C. Describe in detail, your capacity to provide this service(s) for which you are being pre-qualified (by individual zones or all three).
D. Do you currently have employee training forums/courses in place. If so, please list types of training.
E. Do you have the following: Alcohol & Drug Policy Workers' Compensation Board coverage in relevant provinces. (Please provide current WCB clearance letters) A safety program currently in place
F. Detail the work, if any, that would be subcontracted. Are any partnerships or alliances required to do the work?
G. Do you currently have a performance measurement system in place for quality assurance? Please provide a copy.
H. Does your company have employee benefits. If yes, what type of benefits.
I. Do you have the following capabilities:

Knowledgeable in:
Classification system design
Policy and procedure development
Implementation and file conversion
Project management
Performance measures
Oil and gas industry data; and
Capable of providing the following:
Management/Supervisory
Accredited staff - Post-secondary education i.e. Certified Records Managers
Document Management Consultants
Document Analysts
